My Green Doctor Foundation and its My Green Doctor

My Green Doctor Foundation and its My Green Doctor (referred together here as “the Organization”) requires its Directors, officers, employees, independent contractors, and volunteers to observe high standards of business and personal ethics in the conduct of their duties and responsibilities. We must practice honesty and integrity in fulfilling our responsibilities and comply with all applicable laws and regulations. My Green Doctor Foundation and its My Green Doctor seek to adhere to our core values that are represented in the acronym, “SAGED “: Science-based, Apolitical, Generous, Equity-focused, and Data-driven.
Purpose
The primary purpose of this Whistleblower and Code of Conduct Policy is to encourage and enable employees and others to raise serious concerns internally so that the Organization can address and correct inappropriate conduct and actions. The secondary purpose of this policy is to identify, analyze, and correct flaws in the actions or speech of individuals or of the Organization itself so as to improve the Organization’s standards of conduct and its effectiveness in fulfilling its missions.
Responsibility and Right to Report
It is the responsibility and right of every Board member, office, employees, independent contractor, and volunteer to report concerns about violations of the Organization’s code of conduct or suspected violations of ethics, law, or regulations that govern the Organization’s operations.
No Retaliation
My Green Doctor Conflict of Interest Policies & Procedures
It is contrary to the values of My Green Doctor Foundation and its My Green Doctor for anyone to retaliate against any Board member, officer, employee, independent contractor, or volunteer who in good faith reports a potential or certain ethics violation, or a suspected violation of law, improper conduct, a complaint of discrimination, of suspected fraud, or of suspected violation of any regulation governing the operations of the Organization. A person who retaliates against someone who has reported a violation in good faith is subject to discipline up to and including termination of employment or of affiliation with the Organziation.
Reporting Procedure
My Green Doctor Foundation and its My Green Doctor has an open door policy. The Organization urges individuals to share their questions, concerns, suggestions or complaints with their supervisor, the Executive Director, or with the Board Secretary as appropriate. Questions, concerns, suggestions or complaints are best raised immediately when first detected or recognized, and not allowed to be deferred for hours, days or weeks. If someone is not comfortable speaking with their supervisor or is not satisfied with the supervisor’s response, the person is encouraged to speak with another member of the Organization such as the Executive Director or to the Board Secretary. A member of the Organization who is responsible for receiving complaints and who does receive a complaint is required to investigate the complaint. If either the person complaining or the person investigating deems it necessary, the person investigating will make a written report that is submitted to the Executive Director, Board of Directors, or both, and retained in the records of the Organization as determined by the Organization’s Records Retention Polity.
Whistleblower and Code of Conduct Compliance Officer
The Organization’s Compliance Officer is the Executive Director. In the event of a complaint against the Executive Director, the Compliance Officer becomes the Board My Green Doctor Conflict of Interest Policies & Procedures Secretary. The Compliance Officer is responsible for ensuring that all complaints of unethical or illegal conduct are investigated and resolved. The Compliance Officer will ensure that all complaints that are recorded in writing and their resolution and will report at least annually to the Board of Directors. Serious complaints should be taken to the Board of Directors within days or weeks, not months.
Acting in Good Faith
Anyone filing a complaint concerning a violation or suspected violation should be acting in good faith and have reasonable grounds for believing the information disclosed indicates a violation. Any allegations that have been made maliciously or knowingly to be false will be viewed as a serious disciplinary offense.
Confidentiality
Violations or suspected violations may be submitted on a confidential basis by the complainant. Reports of violations or suspected violations will be kept confidential to the extent possible, and even at times might be recorded without names so as to shield the identity of the complainant and/or of the accused, consistent with the need to conduct an adequate investigation.
Handling of Reported Violations
The Compliance Officer will notify the person of receipt of the reported violation or suspected violation. Complaints will be investigated promptly and appropriate corrective action will be taken if warranted by the investigation.
